Every refresh, someone opens the template, drops in the new screenshot, and starts placing callouts. But the feature this quarter doesn't have four things worth explaining. It has one. So the other three get invented — an arrow pointing at a settings icon nobody asked about, a second arrow crossing the first, a label that's really a full sentence wearing a label's font size. The card looks busy, not clear. And busy reads as amateur even when every individual element was designed carefully.

One callout per idea, not one callout per available slot
A screenshot with four labels attached doesn't communicate four features faster — it communicates zero features clearly, because the eye doesn't know which one to read first. Working memory research is stricter about this than most templates assume. Miller's original "seven plus or minus two" got revised downward by Cowan in 2001, who put the real number closer to four chunks before performance degrades — and that's under lab conditions, with someone actually trying to remember. Arrow curvature toward whitespace, not toward more UI
Compare a card where the arrow curves from the label into open space near the target, against one where it curves through a stack of buttons to get there. The first reads instantly. The second forces the eye to parse everything the arrow crosses before it lands — which means the arrow is now competing with the exact UI it's supposed to be explaining. If your screenshot doesn't have clean space near the feature, that's a signal to crop tighter or reframe the shot, not to route the arrow through the clutter anyway.
Label before explanation, always
"Bulk export," then a short subline — not a subline that opens with "This lets you..." and buries the actual label mid-sentence. The label is the chunk a scanning eye picks up first; the explanation only gets read by someone who's already slowed down to look. Cards that lead with explanation lose the scanner before the sentence finishes.
Take an actual before-and-after. Say the feature is a bulk-export button added to a client's Notion template. The "before" version — the template-default version — has four callouts: one on the export button, one on the format dropdown next to it, one on a small progress bar that appears mid-export, and one on the success toast at the bottom. Every element in that screenshot is technically real, and every callout is technically accurate. But a viewer scanning that card for two seconds doesn't walk away knowing what the feature does — they walk away with four disconnected facts and no sentence to string them together. The "after" version keeps one callout, on the export button, with the label "Bulk export" and a subline naming the formats. The dropdown, the progress bar, and the toast stay in the screenshot, visible but unlabeled — proof the feature works, without four competing claims on the same square inch.
None of these three rules are hard to apply to one card. What actually breaks at agency scale is that nobody re-decides the callout count per feature — the template already has four slots, and filling three with real content and one with padding becomes the default, because the alternative is explaining to a client why this refresh "only" needed one callout instead of the usual four.
